Organizing and leading a wonderful team at GDG DevFest Karachi

DevFest Events are organized by Google Developer Groups (GDGs). 337 GDG Chapters are active in 95 countries. These chapters have arranged 1076 events in past 6 months. This was the first DevFest event in Pakistan.

I have quite a little experience of volunteering some technical sessions which I did in university. But we took a big challenge of organizing GDG DevFest Karachi which was sponsored by Google at famous Pearl Continental Hotel Karachi. And that has made me proud of our team :).

Originally, it was scheduled in last week of september, 2012. Our preparations were going with full fledge starting from august. We as organizers planned every thing and shortlisted the list of attendees. But due to uncertainties, we had to postpone this event. And later on it was decided to be held on 23rd December.

But this time, we three organisers (myself , Cyma Karim  and  Faraz Baig) of this event took the complete responsibility of every thing. We distributed the tasks and used to do the work in leisure time at office. We used to have a meeting over Skype daily and worked day and night with full dedication. I took the complete responsibility of volunteers’ assignments and duties.

We had to visit the venue a day before the event. So I and Faraz appeared on the event venue around 5PM. We were notified that our venue hall has been cancelled because payments were not made on time. And those attendants were talking to us somewhat rudely. But later on, that issue was resolved after few hours. So just imagine 16 hours before the event, our venue was cancelled. Thanks to Almighty God for giving us patience. We did not show any reaction and did every thing calmly and politely. So every worst scenario can happen at any time. And we as organisers have to be prepared all the time.

I was afraid of the volunteers, since they are inexperienced and again were not able to show up in the meeting before the event. But still I trusted them. On the next day, I gave instructions to all the volunteers and they showed up nicely. Allhamdulilah, they did a “FANTASTIC” job. Since only the force to make the event successful was the volunteers. We did have a strict rule of attendees. There were some guests who were not registered and appeared to registration desk. They turned up to them very nicely to every single guest.

Overall turn out from the audience was really amazing. It was more than our expectation. Even Jehan Ara and Badar Khushnood appreciated our team. We also did have a good feedback from every one. There were some short comings/deficiencies which we have noticed and hopefully we will improve them in next upcoming events.

Congratulations to every one who was part of our team. Looking forward to work with you in upcoming events.
